Description of Operations

Hedskolan is a pleasant preschool through 6th-grade school and an inclusive elementary school with approximately 500 students, located in a residential neighborhood close to downtown. The proximity to both the forest and ski trails is significant, and these areas are frequently used by students and teachers during lessons and recesses. The teaching teams are organized by educational stage and grade level, working closely together to support all of our students. The atmosphere is characterized by openness and curiosity about new ways of working. We place great emphasis on pedagogical discussions and collegial learning, which are the driving forces behind our development efforts. The school’s focus is on physical activity and outdoor life.

Job Responsibilities

As an administrator at Hedskolan, you’ll play a central and important role in our administrative office, serving as our public face. On a daily basis, you will handle phone calls—such as sick leave and return-to-work notifications—as well as emails and in-person visits, and you will assist and guide students, colleagues, guardians, government officials, and others with tasks such as student enrollment and withdrawal. You will provide close administrative support to school leaders in areas such as student, personnel, financial, information, and regulatory administration (e.g., the grading process).

You will be responsible for mail handling, filing, student and personnel records, and more. You will handle invoices, reconcile the budget, manage payments and account posting, as well as draft contracts and report payroll. You will also handle purchasing and oversee procurement processes. Duties related to staffing—including booking substitutes, substitute scheduling, and orienting new staff on administrative procedures—are also part of the role.

Other duties may arise based on the organization’s needs and your skills. A review of administrative positions will take place in the near future.

Qualifications

You have a degree in administration or other education that the employer considers equivalent. We prefer that you have experience working with similar tasks and with the software programs we primarily use. You have excellent verbal and written communication skills, are computer literate, and are accustomed to using various IT-based tools to support your daily work. You work equally well independently and as part of a team and maintain a professional demeanor. You are dedicated and have a strong ability to collaborate and foster a positive work environment. Under the National Minority Languages Act, Gällivare Municipality serves as the administrative municipality for Sami, Meänkieli, and Finnish. Knowledge of any of these languages is a plus when applying for a position with Gällivare Municipality.

Plan, organize, and prioritize effectively. Set and meet deadlines. The position places high demands on a systematic and structured approach to work, so you need experience prioritizing among a variety of tasks. Since the tasks vary widely, you must be flexible. A prerequisite is that you have a strong ability to express yourself well in Swedish, both verbally and in writing.

You are calm, attentive, and courteous in your interactions. You have the interest, willingness, and ability to help others. You adapt easily to changing circumstances and handle both simple and more complex tasks with humility.  We place great emphasis on personal suitability. This position requires an extract from the Police’s Suspect and Criminal Records Registry.

Working Hours/Duration

Full-time, permanent position. A probationary period may apply.
