The post of municipal secretary belongs to the Committee and Investigation Department, which is a department within the Support and Development Administration. The department is responsible for superintendent activities, board administration, the municipality's archives, consumer guidance, strategic issues regarding the environment, accessibility, public health, minority languages, information security, digitization, etc.

Job duties

As municipal secretary in Gällivare municipality, you will be the key person when it comes to coordinating and administering the case process to boards, committees, municipal board and municipal council. You will be responsible for planning and quality assurance of the process. In the daily work, you are responsible for administration to the political committees. It involves drawing up notices of meetings, distributing documents, writing minutes including managing the entire minutes process, providing administrative service to elected officials, administrative managers and administrators/investigators as well as coordinating contacts internally and externally. Furthermore, the work involves customary secretarial duties such as e.g. mail handling, registration of documents, archiving. You participate in work with the development of case management systems within the municipality and ongoing digitization and streamlining of daily work. Participation in the planning and implementation of general elections is also included in the committee secretary role. The position includes being a supervisor for the committee secretary and thereby driving the work of developing case preparation processes and administrative routines. You will also, if necessary, step in as a substitute for the head of department.

Your role will be consultative by supporting elected representatives and managers in practical matters regarding the case preparation process and its administration. Internal advice and guidance to civil servants and elected representatives regarding the case process is also included as part of the work. You will also be the system manager for our case management system Ciceron.


We are looking for you who have a university or college education with a focus on public administration, law, social science or other education or experience that we deem equivalent. It is advantageous if you have experience in similar tasks and if you have good knowledge of the legislation that is central to the assignment, including the Municipal Act, the Administration Act and the confidentiality legislation. It is also advantageous if you have had a managerial function before. As a person, you are solution-focused and meticulous, you are comfortable taking your own initiative and thrive in a supportive and service-oriented function. It is important that you have good communication and collaboration skills as the work consists of many different contact areas.
