TVM is one of the university’s largest departments, with approximately 300 employees and an annual budget of around 480 million Swedish kronor. Here, we conduct leading-edge research and education across a broad spectrum of technical and natural science fields. The department’s activities are characterized by strong collaboration with industry, research institutes, and universities—both in Sweden and internationally.

Job Responsibilities

The primary responsibilities fall within three main areas that interact with one another:

Management of the department’s administrative unit

You will lead and develop the unit’s operations, establish clear priorities, and create favorable conditions for employees to perform their duties to a high standard. Through hands-on, trust-based leadership, you contribute to a positive work environment, employee engagement, and professional development.

An important part of the role is to develop the unit’s working methods and strengthen collaboration with the department’s managers and staff.

Management Support for the Department

You will provide active and expert support to the department chair and the department’s other leadership in strategic and operational matters. You will work independently and in a results-oriented manner, guided by the department’s priorities.

The role includes, among other things:

  • coordinating and developing operational planning and follow-up
  • monitoring and analyzing the department’s finances and performance at an overall level
  • preparing analyses and decision-making documentation
  • supporting the department’s leadership in navigating university-wide regulations and procedures

The role also involves handling issues that arise on short notice. You must therefore be able to quickly familiarize yourself with complex issues and contribute to solutions that work in practice.

University-wide collaboration

As an administrative manager, you are part of the university’s overall operational support team and a member of the management group for operational support. Together with the department head and other administrative managers, you will help develop the university’s administrative processes and services.

You take into account both the department’s and the entire university’s perspectives in collaborative development efforts and translate university-wide decisions and improvements into effective working methods within the department.

Qualifications and Experience

For this position, you must have:

  • a relevant college degree
  • experience in management and leadership roles spanning several years
  • experience in financial management and strategic HR issues
  • strong verbal and written communication skills in Swedish and English.

It is advantageous if you also have experience in:

  • a university, college, or other large and complex knowledge-based organization

To succeed in this role, you must be able to switch between a strategic, big-picture perspective and the concrete needs of the organization. You are responsive, analytical, and organized, and can prioritize when multiple issues need to be addressed simultaneously.

You lead with clarity, trust, and commitment. You foster a sense of involvement and provide your employees with the conditions they need to take responsibility and grow. As a manager, you are confident in making decisions, standing by your priorities, and driving the work forward.

The role involves many points of contact. You are therefore communicative, build trusting relationships, and work in a consultative manner. You listen to the organization’s needs but also have the integrity and courage to raise difficult issues, challenge established ways of working, and propose new solutions.

Scope

The position of Administrative Manager is a full-time, permanent position based in Luleå. Start date to be agreed upon. A probationary period may apply.
