About the Position

We are seeking an Administrative Manager for the Operational Support Unit at the Department of Art and Technology. The department will have approximately 90 employees and just over 900 full-time students.

You will be the head of an administrative unit consisting of about 9 employees based in Luleå or Piteå. As a leader, you will create conditions for participation, collaboration, and development. You lead through trust and clarity and have the ability to foster engagement in change and development initiatives. You will be part of the department’s management team, and on matters related to the department’s operations, you will report to the department chair. As administrative manager, you will also be part of the university-wide operational support team and report directly to the head of the operational support division.

Your primary responsibilities include providing support to the department chair on matters related to the department’s operations and to other leadership functions in planning, management, and follow-up. You will coordinate and prepare the department’s operational planning and be responsible for producing decision-making documentation and analyses. Together with the department chair and other department leadership, you will build and develop the department’s operational support. You will have significant opportunities to influence work methods, structures, and administrative processes within an organization that is currently evolving. You will also be involved in HR-related issues and processes.

The administrative unit under your responsibility serves as a shared and cohesive administrative resource for the entire department. The unit’s main task is to provide administrative support to the department chair, division heads, subject representatives, program directors, researchers, faculty members, doctoral students, and students in the key areas of finance, human resources, and education. You are also responsible for disseminating knowledge and ensuring compliance with regulations, overarching policies, and procedures. Together with other administrative managers, you will participate in development initiatives aimed at improving and streamlining administrative processes within the university.

Qualifications

This position requires a university degree with a relevant focus for the role. You have experience in leadership positions, preferably from larger organizations, and are accustomed to working with operational management, planning, and management support.

We would prefer that you have experience working with financial management and strategic HR issues and are accustomed to providing support to management functions, where you enjoy contributing to the big picture both strategically and operationally. We require that you have strong verbal and written communication skills in both Swedish and English.

You are committed, results-oriented, and skilled at building and developing strong relationships with those around you, and you have a listening approach. You are a strong communicator and can work in a consultative and process-oriented manner. You build trust when collaborating with others and have a well-developed ability to think long-term and see the big picture. Your personal qualities are characterized by your ability to be a good leader who can inspire and motivate your colleagues in change and development initiatives. You possess courage and integrity, while also being organized, quality-conscious, and committed to ensuring strong internal controls.

Scope and Location

This is a full-time, permanent position as Administrative Manager based in Luleå. A probationary period may apply. The start date will be determined by mutual agreement.
