We are now looking for a structured and service-oriented Executive Assistant for a 12-month parental leave, based in Luleå.

About the position

As an Executive Assistant in our Transformation Office, you are a key person in a team with a high pace, great commitment and many contact areas. You are a confident administrative pillar - Executive assistant to the CTO, VP Technology & Transformation Office, the management team and other managers, while acting as an internal "fixer" for everything from meeting coordination to practical matters.

About 75-80% of the work is administrative and takes place at your desk, while 20-25% involves being out and about solving tasks on site - this could be booking service for our project vehicles, meeting up with suppliers, arranging venues or dealing with visitors.

This is a role for you who loves to make things happen, thrives on variety and can think quickly when plans change.

The position is a 12-month parental leave with start according to agreement.

The location is at our office in Luleå, with some possibility of remote work.

Your main responsibilities

  • Coordinate and plan prioritized visits linked to SSAB's transition in Luleå.
  • Support HR in onboarding and offboarding, authorization management and other personnel administration.
  • Manage bookings of project cars, service and practical matters.
  • Book conferences, arrange lunches, coordinate internal events and support larger meetings.
  • Calendar management, travel and visa bookings.
  • Invoicing, purchasing and other administration.
  • Preparing presentations and reports, taking minutes and following up on actions.
  • Being a daily support to the VP and management team - you make their everyday life easier.


About you

  • You have previous experience as an Executive Assistant or in similar coordinating roles.
  • You enjoy working independently and solving problems on your own initiative.
  • You are structured, stress-resistant and have a high sense of service - it is important that you are passionate about helping others.
  • You can handle unforeseen situations with calmness and flexibility.
  • You have good digital skills, are confident in Office 365 and have an easy time learning new systems.
  • You have a very good command of spoken and written Swedish and English (Finnish is an advantage).
  • Post-secondary education in, for example, administration, finance or HR.
  • B-driving license is an advantage, as well as good local knowledge of Luleå and the surrounding area.
