As an Executive Assistant, you are the center for communication, strategy, scheduling and planning for the VP, Head of TO and TO MT for the Transformation Office, but you are also a support to the other managers in the management group with whom you have a close collaboration. You will be highly involved in the everyday life of the above-mentioned people and it is natural for you to plan, organize and prioritize the work in an effective way and take the initiative for routines that suit both the business and these people.

In the role, you sit organizationally with everyone who is part of SSAB's conversion project at the Transformation Office.

Your main areas of responsibility

  • Organize and plan prioritized visits linked to SSAB's conversion in Luleå.
  • Responsible for administration linked to on- & off-boarding of our new hires and consultants, including management of various authorizations and access rights in IT systems and personnel systems.
  • Manage purchasing activities, including purchase orders and invoice processing.
  • Facilitate the daily work of the VP Head of TO manager and other TO team members regarding administrative and practical tasks so that their everyday life runs as smoothly, efficiently and well as possible. Organize visits and events and assist with calendar bookings, travel bookings and visa management.
  • Prepare reports for management teams, keep minutes, follow up on action plans and participate in various management forums. Calendar management and proactive support for upcoming bookings.
  • Make presentations in Powerpoint, sometimes with associated suggestions for speaking scripts.
  • Helpful at larger events at GROUP, e.g. Top Management Meeting for approx. 100 participants.

About you

  • Experience from Executive Assistant role in global listed company, start-up and/or growth company. To assume the role, you should be self-motivated and used to picking up and delivering on tasks of a different nature. You have business and organizational knowledge and are administratively skilled with digital competence.
  • You will be a key person in many of our important processes. Mainly in the area of ​​personnel administration. You report to the head of the VP for TO.
  • As a person, you have a strong commitment and drive to get things done and do it with a structured way of working and an analytical mind. You have the ability to prioritize, plan and enable both your own work and that of others. You are prestigeless, clear and likable. You are used to self-leadership and you like to take ownership of different projects. It is also important that you have high communication and collaboration skills and that you inspire confidence with an ability to create and maintain good relationships.
  • Post-secondary studies in economics, HR, administration and or languages.
  • Communication skills: Good Swedish and English in speech and writing. Meritorious with Finnish.
  • Ability and professionalism to handle confidential information.
  • System experience: Microsoft Office 365 Merit EIS, SAP and TimeKey.
  • The position is primarily on location in Luleå with the possibility of remote work to a certain extent!
