About the Position:

We are growing and want to ensure that our day-to-day operations continue to run smoothly and efficiently, which is why we are now seeking an Office Assistant for our office in central Stockholm. In this role, you’ll be a central part of the office and a key resource for the entire organization, helping to create structure, a positive work environment, and a professional overall impression. You’ll work closely with both colleagues and management and have a varied daily routine with many points of contact, combining reception duties, meeting coordination, and administrative support for various managers.

The role involves a high degree of independent responsibility and is ideal for someone who thrives in a fast-paced environment and enjoys being the one who keeps things running smoothly behind the scenes. You’ll report to our Office Manager and collaborate closely with other assistants and internal departments, stepping in wherever needed.

The position is based in Stockholm and is a full-time, office-based role. This is a perfect opportunity for someone who wants to grow in the fields of administration, customer service, and executive support.

Your main responsibilities:

  • Provide administrative support to teams and managers, including calendar and meeting coordination
  • Book and coordinate travel and handle related administrative tasks
  • Handle invoices and basic financial administration
  • Ensure structured document management, including handling and following up on document signing
  • Be responsible for office operations, security, and vendor contacts, and assist with events and internal activities as needed
  • Be responsible for the reception desk together with a colleague and, as needed, serve as the first point of contact for visitors, guests, and vendors
  • Create a professional and welcoming overall impression of the office
  • Coordinate and host internal and external meetings and ensure that everything related to the meetings runs smoothly
  • Plan and order lunches, coffee breaks, and catering for meetings and events

About you:

  • You are service-oriented and have a natural ability to make others feel welcome and well taken care of
  • You have previous experience in similar work at a reception desk, as a conference host, or in similar service-oriented roles
  • You take responsibility for your work, drive tasks forward independently, are proactive, and anticipate what needs to be done—often before it’s requested
  • You are a flexible and unpretentious team player who thrives in a fast-paced environment where you can make quick decisions to keep work flowing smoothly
  • You thrive in a role with many points of contact and collaborate smoothly with others
  • You work in a structured manner and are skilled at prioritizing in a varied workday
  • You are accustomed to working in various IT systems, have experience with document management, and possess strong skills in the Office suite
  • You communicate professionally and have excellent written and spoken skills in Swedish and English, as we are an international workplace
