Office Manager / Personal Assistant

We are looking for someone who can act as a Personal Assistant as well as run our future office in Amsterdam (region) as Office Manager. This is a unique opportunity for someone that can set-up an office for our existing commercial team.

You will perform a variety of administrative tasks and contribute to the efficiency of our business by providing personal and prompt support to the Head of Commercial and, to a lesser extent, to the wider commercial team.

As our future Office Manager at Stegra in Amsterdam, you are key to keeping our future office running smoothly. You will be ensuring that visitors as well as employees have a great experience, and leading various projects. This role also involves making sure that the office is performing on budget, planning events and handling procurement.

We're looking for someone who's proactive, well-organized, and service-minded.

Location: Amsterdam Airport Region, The Netherlands

Key responsibilities

  • Drive the process of finding an office location, support negotiating conditions and decorating the office.
  • Act as the point of contact, on behalf of the manager, towards clients and other external partners.
  • Providing administrative assistance, such as e-mail correspondence, drafting memos and creating presentations.
  • Manage and prioritize the manager’s calendar and set up meetings.
  • Make travel and accommodation arrangements and administrate manager’s expenses and receipts.
  • Plan team off sites, other internal events and customer visits.
  • Handle purchases and negotiate with vendors to secure cost-effective solutions. Work together with corporate IT/workplace support.
  • Serve as the main contact for building management and external stakeholders, continuously assessing and improving site processes


Requirements

  • Batchelor degree in Business Administration or similar field
  • Minimum 3 years' work experience in office management, personal assistant or a similar administrative role.
  • Experience in project management and event planning is a plus.
  • Good prioritization and problem-solving skills.
