What you’ll do

Right now, we are looking for a Service Coordinator for our Asset Management. In this role you will report to Asset Manager and sit within our Mill Service function. You will work closely with contract owners to manage service providers and streamline service ordering processes. You’ll handle invoices, documentation, scheduling, and compliance records, ensuring everything runs smoothly. This role also provides essential administrative and logistical support to managers. If you enjoy keeping things organized and making a real impact behind the scenes, we’d love to have you on the team.

Specific to this role, the day-to-day tasks will include the following but as we are a growing company with very little silos between teams, other tasks might be included as well.

  • Facilitate smooth onboarding for external service providers by ensuring all certifications, safety documents, and access permissions are in place with care and precision.
  • Coordinate service requests and serve as a helpful bridge between Stegra and partners, supporting timely and accurate service delivery.
  • Manage contracts and invoicing with attention to detail, tracking documentation and ensuring everything is clear, complete, and accurate.
  • Support managers with confidence, preparing reports, coordinating communication, and helping track safety, training, and scheduling needs.
  • Keep operations running seamlessly by organizing records, arranging meetings and travel, and maintaining efficient workflows for the whole team.

Specific to this role, we would like to see that you can tick off a fair amount of the boxes below:

  • Education in administration or business is a plus, though not required - relevant certifications to perform the role are essential.
  • 4+ years of experience in administrative or support roles, ideally within industrial or manufacturing settings.
  • Skilled in service order and invoicing processes, with a strong grasp of workflows and accuracy in execution.
  • Excellent communicator, both written and verbal, with strong active listening and a positive, approachable attitude. 
  • Very good knowledge of English. Knowledge of Swedish will be an advantage.
  • Highly organized and efficient, able to prioritize, multitask, and manage time independently.
  • Tech-savvy and detail-oriented, with strong proficiency in office software and a sharp eye for accuracy and problem-solving.
