
The Labor Market and Integration Department of the City of Umeå is responsible for the integration of new arrivals and labor market issues within the City of Umeå. We provide guidance, create opportunities, and help chart new paths for people who need support to enter and advance in society and the workforce, while also contributing to the supply of skilled labor from both a local and regional perspective.
We are a dynamic organization, characterized by a high degree of flexibility and adaptability to meet new legal requirements and changing external factors. The department frequently seeks project funding in collaboration with other partners to develop its operations. In 2026, the department will be working to implement the activity requirement reform, which will result in an increase in the number of participants in our programs.
The support function within the department is now seeking an experienced, dedicated, and service-oriented administrator who wants to contribute to the department’s mission. The support function is responsible for, among other things, administration related to the activity requirement reform, reception, property management, as well as ordering, invoice processing, project administration, and payroll and employment support for managers in municipal operations.

Your Responsibilities
As an administrator, you’ll serve as the hub of daily operations related to participant activities. You’ll handle registrations, scheduling, facility reservations, and logistics related to group starts, materials, and participant communication. The role includes navigating—and, when necessary, creating—digital solutions for booking and participant workflows.
In addition to these activities, you will serve asadministrative support for project operations—a role that requires versatility and the ability to switch between different types of tasks, such as monitoring and reporting in accordance with funders’ requirements, monitoring employment regulations for project staff, scheduling, working hours, and payroll documentation.
Furthermore, the role includes placing orders and reviewing invoices, payroll processing, staffing the reception desk, and other standard administrative tasks. As an administrator, you’ll work on continuously improving our existing processes and work methods; you’ll play a central role within the department and be an important part of our collaborative efforts.

You’re comfortable with digital tools, quick to learn new systems, and see opportunities to create order where it doesn’t yet exist. You thrive in a supportive role and understand that your work is essential for others to do theirs. You collaborate easily with others and enjoy working in a structured manner; you are quality-conscious and have the ability to independently plan, organize, and prioritize your tasks.
You are capable of handling multiple tasks simultaneously, ranging from specialized to simpler duties. Since the workload and tasks can vary over time, it is important that you have the ability to manage temporary spikes in workload and can easily adapt to changes.
