About the role
The City Archives is looking for an e-archivist with a special interest in digital development and information management. You will be involved in the entire process - from feasibility studies and requirements analysis to functional specification, implementation and system deployment. The role also involves working on the development of delivery specifications, governance documents, tools, user interfaces and digital archive management. For a greater understanding and insight into all the processes of the business, you also participate in traditional archival tasks linked to the city archive's analog archive.
The City Archives, with its nine employees, is in an exciting phase where both the e-archive and the municipality's information management are being developed, which provides great opportunities to actively shape the archive structure of the future.
Umeå City Archives is part of the Department of Democracy and Law at the City Management Office and serves as the municipality's final archive with responsibility for governance, support, supervision and release of conservation documents.
Your tasks as e-archivist:
Systems and development
- Plan, develop and manage e-archiving systems and solutions
- Develop the current and future benefits of e-archiving for the municipality and citizens
- Work with requirements from an archive perspective in the procurement of business systems
Technical management
- Manage software and hardware relevant to digitization and e-archiving
- Manage deliveries of records electronically and prepare for import to the e-archive
Information management and quality
- Review, assess and transfer digital documents to e-archives
- Ensure that e-archive information is accessible, searchable and authentic
- Comply with e-archive management laws, regulations and standards
Support, training and development
- Provide advice and support to business staff and users on e-archive issues
- Participate and occasionally lead small projects and mentor staff on digital information management
- Participate in training, research and development in the field of e-archiving
Business intelligence and researcher services
- Conduct business intelligence
- Participate in researcher services, which means providing support to researchers, students and the public by answering questions, helping to find and make archival material available, and handling disclosures in accordance with rules on public access and confidentiality
Formal requirements
Education in systems science, archival and information science, or other specialization that we consider equivalent
Basic understanding of systems management, systems integration and data structures
Meritorious
Practical experience with e-archiving systems
Experience in information management and e-archive projects, preferably from a municipality, region or authority.
Understanding of metadata management
System development mindset
Some graphic interest or knowledge
Personal characteristics
You are a structured and self-motivated person with good communication skills in Swedish and English. You enjoy working together, have high social skills and are easy to build good relationships.
